Zoom AI Companion Meeting Summary

Zoom AI Companion is an AI-powered digital assistant included in Zoom that generates meeting summaries, creates meeting highlights, composes chat messages, and summarizes documents. You can choose to activate the AI companion features on your Lehigh Zoom account.

Step 1: Activate AI Companion in Your Account Settings

You must first enable the AI Companion features in the Zoom web portal before they can be used in a meeting.

Your Zoom meetings will not use any AI functionality or features unless you choose to enable.

  1. Go to the Lehigh's Zoom web portal and log in.

  2. Go to Settings.

  3. At the top of the settings page, click the AI Companion tab.

  4. You will see a list of all AI Companion features. For note-taking and summarization, you must enable:

    • Meeting Summary: Toggle this ON. This is the feature that automatically generates a summary and list of next steps after the meeting.

    • AI Companion (In-Meeting): Toggle this ON. This enables the in-meeting side panel that allows you (and your participants, if you allow) to ask questions, catch up, and get live summaries.

Toggle functions OFF in AI companion tab to deactivate.

You may also want to enable Smart Chapters for Cloud Recordings, which automatically categorizes your recorded meetings.

Step 2: Use AI Companion for Note-Taking During a Meeting (Host Task)

Once the features are enabled in your account, you can use them in your meetings.

  1. Begin your Zoom meeting as the host.

  2. In the meeting toolbar at the bottom of your screen, click the AI Companion button.

  3. A menu will pop up. To start the note-taking and summarization, click Start Summary.

Note: If you start a Cloud Recording (by clicking Record > Record to the Cloud), the AI Companion's summarization feature will often start automatically, as it processes the cloud recording data.

Notify Participants: Once you start the summary, all participants will see a notification informing them that AI Companion is active and generating a summary. This ensures transparency.

 

Final Step: Meeting Summary

This is how you get the final, compiled "notes" after the meeting ends.

  1. Once you finish your discussion, end the meeting.

  2. Wait for Processing: The AI Companion will take a few minutes to process the conversation and generate the summary.

  3. Receive Your Summary: The host (and any other participants you designate in your settings) will automatically receive the Meeting Summary in two primary ways:

    • Email: A summary will be sent to your email address associated with your Zoom account.

    • Zoom Web Portal: You can log in to the Zoom web portal, navigate to the Meetings section, and find the summary attached to the completed meeting's details.

The summary you receive will typically include:

  • An Overall Summary: A brief paragraph summarizing the entire conversation.

  • Key Topics (Smart Chapters): A breakdown of the different topics discussed.

  • Next Steps / Action Items: A bulleted list of tasks or follow-ups that the AI identified.
